Terms & Conditions for Participation


About the CEMS Events


Attendees
Everyone in the CEMS Community can attend the CEMS Annual Events.

Annual Meetings
Several governance meetings are open only to respective stakeholders (Deans, Executive Councillors, Management Council, Programme Managers, Academic Directors, Communication Directors, Alumni Relations Managers and Alumni representatives).

Capacity limitations
We encourage all of our CEMS Graduands 2026 to join the Graduation activities. Places at some events are limited and will be available on a first come, first served basis. 

Pre-Graduation Party
The venue of the Pre-Graduation party has a maximum capacity of 500 persons. For the time being, the party is limited to graduands only, so guests are not permitted to register.

Graduation Ceremony
The Ceremony can seat ca.1,000 attendees; therefore, registrations will be limited accordingly. Each graduand may invite up to two guests, and seats will be allocated on a first-come, first-served basis.
After the registration period closes, any remaining seats will be made available for additional guests.

Dinner
The Dinner can receive ca.900 attendees; therefore, each graduand may invite up to two guests.
After the registration period closes, any remaining seats will be made available for additional guests.

Graduation Party
The Graduation Party can receive ca. 800 attendees; therefore, each graduand may invite up to two guests.
After the registration period closes, any remaining seats will be made available for additional guests.

Please register early to secure places for you and your guest(s).



About Registration


(Academic Members) Early bird registration: until 31 August 2026
(Graduands) Early bird registration: until 15 September 2026
(Guests) Early bird registration: until 15 September 2026

Only registrations with confirmed payments by the early-bird deadline will be accepted. Any payments made after this deadline will revert to the regular price of the category and/or event.

(Academic Members) Regular price registration: 1 September - 6 November
(Graduands) Regular price registration: 16 September - 6 November
(Guests) Regular price registration: 16 September - 6 November

Payments must be registered by the end of 6 November.

Please note that places are limited and are available on a first come, first served basis. We recommend that you register as early as possible to secure places for you and your guests.


About Payment


Payment is made at the time of registration. For credit card payment this is mandatory. For payment by bank transfer, your registration is confirmed when the payment is validated.

All registered guests are required to send their bank remittance receipt to annualevents@cems.org.

Non-payment by the 6 November deadline may indicate that you will not attend, therefore the system will automatically delete non-confirmed registrations. In the event of no shows, no refund will be made.

Payment and Bank Details

Payment can be made:
  • By Credit Card – Visa or MasterCard.
  • By Bank Transfer in Euros (only payments above €200 can be made by bank transfer).

All prices are quoted in Euros. Payment in any other currency will not be accepted.

Bank charges, if any, will be incurred by the payment sender.

Important notice: 
If the payment source is not referenced adequately, we will have problems identifying the payer. This may cause your registration not to be validated before the payment deadline. 

It is therefore imperative that you clearly state your NAME and school, as well as the reference “CEMS Annual Events 2026” on your bank transfer form.

If payment is made for more than one person or covering several participants per school or company, please list all the names of individual participants.

All registered guests are required to send their bank remittance receipt to annualevents@cems.org.


About Cancellation Policy


For Candidates not qualifying for graduation and their guests:
● Cancellation until 6 November: 100% refund
● Cancellation after 6 November: No refund.

Please note: This only applies for candidates (and their guests) who have registered and subsequently realise that they do not qualify for graduation in 2026 due to non-completion of the CEMS MIM requirements.

For Candidates qualifying for graduation and their guests:
● Cancellation until 15 September: 100% refund
● Cancellation between 16 September and 6 November: 50% refund
● Cancellation after 6 November: No refund.

For Academic Members:
● Cancellation until 31 August: 100% refund
● Cancellation between 1 September and 6 November: 50% refund
● Cancellation after 6 November: No refund.

Possible exceptions (i.e. reasons for refunding) include visa refusal. Please provide a refusal letter.
All cancellations must be confirmed in writing to: annualevents@cems.org.

Instructions for Refunds:
All authorised refunds will be made by the CEMS Global Office following the CEMS Annual Events. If payment is made with Visa/MasterCard, refunds will be made directly to the card used at payment.

Alternatively, via bank transfer, full personal and bank account details (address, swift code, IBAN number, etc.) must be sent by email to annualevents@cems.org.
All cancellations must be confirmed in writing to: annualevents@cems.org.


About Hotels


Cancelling hotel bookings:
Please pay attention to the cancellation terms for your chosen hotel. The CEMS Organising Committee does not take any responsibility for booking or managing disputes with hotels.

Visit the official website regularly for updates and links to negotiated rates at conveniently located accommodation, travel tips and tourist information (Plan your Trip at cems.org).

We recommend you take out travel insurance.


About Consent for Photography/Video/Audio


KUBS and CEMS would like to use your images (photographs), video recordings and/or audio we take of you during the event for possible internal and external promotion.
The photography/video/audio could be used in print and digital media formats, including (but not restricted to) print publications, websites, e-marketing, poster banners, advertising, film, social media, teaching and research purposes, either in an edited or non-edited format.

By registering for the events, you consent to having your photograph taken at the events and that KUBS owns the copyright of your image(s). You will not receive any payment for any photographs, video and/or audio (including any edited versions). If you do not wish to be photographed, please inform the photographer at the event.


About Privacy & Personal Data Processing


KUBS and CEMS process your personal data for the purposes of event registration, administration, and participation. We collect only the information necessary for these purposes, including your name, job title, contact details, payment information, and organizational affiliation.
Your personal data will be used to manage your registration, communicate with you regarding the event, and collect post-event feedback. It may be shared with third-party service providers engaged in event administration (e.g., registration, accommodation, and related services). Your personal data will not be sold or used for commercial purposes.
By registering for the event, you consent to the processing of your personal data as described above. You may also choose to opt in to receive information about future events.
You have the right to access, correct, update, or request the deletion of your personal data where applicable. You may also withdraw your consent to receive future communications at any time.
